This privacy policy explains how Leaders by Nature Ltd ("we", "us", "our") collects, uses, and protects your personal data when you use the 12-Week Leadership Accountability Plan app at accountability.leadersbynature.co.uk ("the App").

2. What data we collect

When you use the App, we collect:

  • Account information — your name and email address, used to create and manage your account
  • Authentication data — your password, which is stored in encrypted (hashed) form and never readable by us
  • Weekly reflection responses — your answers to the three weekly reflection questions, your "key insight this week", and your "one thing I will do differently" entries
  • Completion status — whether you have submitted your reflections for a given week (yes/no only — the content of your responses is not visible to administrators)

3. How we use your data

We use your data solely to provide the App and its features:

  • To authenticate you and maintain your account
  • To store and display your private weekly reflections
  • To allow your programme administrator to track participation (completion status only, not content)
  • To send you account-related emails, such as password reset requests

We do not use your data for marketing, profiling, or any purpose beyond delivering the service.

4. Who can see your data

Your weekly reflection responses are private to you. They are protected by Row Level Security, meaning no other user — including other members of your team — can see your answers.

Your programme administrator (Leaders by Nature) can see only:

  • That you have an account on the App
  • The team you are in
  • Whether you have completed your reflections for each week (yes/no)

Your reflection content is never visible to your administrator, your employer, or your team.

5. How we store and protect your data

Your data is stored securely using Supabase, a cloud database platform. Your data is hosted within the European Union and is subject to EU data protection standards.

Supabase acts as a data processor on our behalf under a Data Processing Agreement. You can read Supabase's privacy and security information at supabase.com/privacy.

We take appropriate technical and organisational measures to protect your data against unauthorised access, loss, or disclosure.

6. How long we keep your data

We retain your account and reflection data for the duration of your participation in the programme, plus a reasonable period afterwards (typically 12 months) to allow for any follow-up or queries.

If you would like your data deleted sooner, please contact us at jude@judejennison.com and we will action this promptly.

7. Your rights

Under UK and EU data protection law (UK GDPR / GDPR), you have the right to:

  • Access the personal data we hold about you
  • Correct any inaccurate data
  • Delete your data ("right to be forgotten")
  • Restrict or object to our processing of your data
  • Data portability — receive your data in a structured, machine-readable format

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk if you believe your data has been handled unlawfully.

8. Legal basis for processing

We process your data on the following legal bases:

  • Contract — processing your account and reflection data is necessary to provide the service you have signed up for
  • Legitimate interests — tracking completion status (not content) to allow programme management

9. Cookies

The App uses only essential cookies required for authentication and session management. We do not use tracking, advertising, or analytics cookies.

10. Changes to this policy

We may update this policy from time to time. If we make significant changes, we will notify you by email. The "last updated" date at the top of this page will always reflect the most recent version.
